WhatsApp Business App vs WhatsApp Business Platform: what's the difference?

They share a name and little else. One is a free app for a single owner; the other runs team conversations at scale through software.

The short answer

The WhatsApp Business App is a free mobile app for a single owner or a very small team — one phone, manual replies, basic tools. The WhatsApp Business Platform (formerly called the WhatsApp Business API) is built for teams: it has no standalone app and is used through business software such as M3VO, so several staff can share one number, with automation, AI and CRM integration.

In short: the App is for messaging customers yourself; the Platform is for running customer conversations as a team, connected to your other systems. The Platform also uses per-message pricing, which the App does not.

WhatsApp Business App: what it is

The Business App is free from the app store and tied to one number on a primary phone (with a few linked devices). It adds simple tools on top of normal WhatsApp: quick replies, away messages, a catalogue and labels. It's a good fit for a solo operator or a micro business handling a manageable number of chats.

Its limits show up the moment more than one or two people are involved: there's no true shared team inbox, no real automation or integration, and broadcast is restricted. Once several staff are answering customers, visibility and accountability start to slip.

WhatsApp Business Platform (formerly the API): what it is

The Platform is built for teams, and there's nothing to download — you connect to it through a Business Solution Provider or software such as M3VO. That software gives you a shared inbox where several agents work one number, with assignment, internal notes, conversation status, automation, chatbots, AI-assisted replies and integration into your CRM, ERP or appointment system. It also supports an official verified business profile (green-tick eligibility). Setup requires Meta business verification.

How Platform pricing works — and what changes on 1 October 2026

The App is free. The Platform is not. Since 1 July 2025 Meta charges per message for template messages, replacing the older per-conversation model. Charges depend on the message category and the recipient's country:

  • Marketing templates — charged (the most expensive category).
  • Utility templates (order updates, reminders) — charged, at a much lower rate.
  • Authentication templates (OTPs) — charged.
  • Service — replies inside the 24-hour window a customer opens are currently free, and incoming customer messages are always free.

Rates are set by Meta per recipient country on a quarterly rate card, and your provider adds a small per-message markup. From 1 October 2026, Meta begins charging for service messages and for utility templates sent inside the 24-hour service window — conversations that are free today. If you lean on WhatsApp for support, budget for that change.

One thing to keep separate: the software subscription you pay a provider (for the inbox, automation and integrations) is not the same as Meta's per-message fees. A reputable provider passes Meta's fees through at cost rather than marking them up.

Which should your business use?

Stay on the App if you're one or two people, volume is low, and you don't need automation or integration.

Move to the Platform if several staff answer customers, you're losing visibility across phones, you want automation or AI, you need WhatsApp connected to your CRM or appointment system, or you send structured notifications like reminders and order updates.
